GENTEXT/REMARKS/1. In alignment with the Network Governance Board (NGB) decision, the Marine Corps has procured, tested and implemented phone lines which are integrated with Marine Corps impact level 5, NIPR Microsoft (MS) Teams Audio Conferencing. The service enables approved and provisioned users to establish teams meetings with a corresponding voice telephone number which allows meeting attendees to dial in to that respective teams meeting. This capability is scheduled to go live as of 8 NOV 2021.
2. Purpose. This message announces the United States Marine Corps (USMC) Microsoft Teams Audio Conferencing bridge capability and user request guidelines. The Marine Corps has procured Microsoft Teams Audio Conferencing licenses based on demand identified in previous data call and per the NGB decision. To ensure service demand is met, Marine Corps must exercise diligence in provisioning this capability to personnel that regularly schedule conferencing calls and meetings for their respective commands, units, or activities. The primary method of attending Marine Corps Microsoft Teams meetings remains via the USMC Microsoft Teams software which should be utilized whenever possible. A license is not required for users attending, hosting, or leading MS Teams meetings, but special guidance is required to ensure provisioning of licenses to the appropriate personnel in commands, units, and activities.
3. Procedures. Guidance for use of Marine Corps Teams’ Audio Conferencing is as follows:
3.a. Users requesting a license to establish Teams meetings with an associated telephone line will be required to complete the MS Teams Audio Conferencing user agreement available within the following link: https:(slash)(slash)usmc.sharepoint-mil.us(slash)sites(slash)mcen_support_enterpriseservicedesk(slash)lists(slash)portal%20documents(slash)attachments(slash)1(slash)teams%20audio%20conferencing%20agreement.pdf?web=1. The user must also have a USMC.mil email account.
3.b. The requestor must read, complete, and digitally sign the user agreement. The signed user agreement must then be emailed to the requestor's supervisor for signature. Incomplete forms will be rejected.
3.c. Users without a USMC.mil email address cannot provision this capability. To be a Microsoft Teams Audio Conferencing meeting creator/scheduler, a user must have an USMC.mil account and have access to government furnished equipment (GFE).
3.d. Completed audio conferencing user agreement form must then be emailed to the local Information System Coordinator (ISC) or Authorized Approver for submission to the USMC Enterprise Service Desk via Remedy Digital Workplace (DWP) USMC Service Catalog which can be access via the following url: https:(slash)(slash)dwp.mceits.usmc.mil(slash)dwp(slash)app(slash)#(slash)catalog
3.e. The requestor will receive an email notification from the ESD upon completion of license provisioning.
3.f. The individual assigned the audio conferencing license identified in each unit, is expected to assist in establishing procedures for others within their office or activity to generate MS Teams meetings with detailed dial in instructions.
3.g. The user may establish Teams meetings within the USMC MS Teams desktop application available within software center. Once a meeting invitation is sent out via the MS Teams desktop application, the phone number will automatically be generated within the invite. Note meeting established from MS Outlook application will not automatically generate a dial in number.
3.h. Meeting participants without GFE or MCEN access will only be able to dial into the phone bridge and contribute via voice. Screen share is only available within the USMC MS Teams desktop client.
3.i. The accompanying Defense Information Systems Agency (DISA) phone bridge service is limited to 250 concurrent dial-in. Additional dial-in connections for the meeting will be allowed by the system once that limit is reached. For this reason, users must make every effort to use the MS Teams desk application for audio as well as video as the primary means to participate in MS Teams collaboration. The dial-in option is secondary and should only be used as a backup for remote users that do not have access to a GFE device.
3.j. Additional guide for request and use can be found within the following link: https:(slash)(slash)usmc.sharepoint-mil.us(slash)sites(slash)mcen_support_enterpriseservicedesk(slash)lists(slash)portal%20documents(slash)attachments(slash)1(slash)teams%20audio%20conference%20guide%20final.pptx?web=1
3.k. If further assistance is required, the user may contact the ESD at 855-373-8762.
3.l. Information System Coordinator (ISC) must review each request from each end user for completeness prior to submitting via Remedy Digital Workplace (DWP) to the ESD for processing.
4. All questions should be addressed to the POCS listed.
