GENTEXT/REMARKS/1.  THE SERGEANT MAJOR OF THE MARINE CORPS (SMMC) WILL CONVENE THE 2009 SERGEANTS MAJOR SYMPOSIUM (SMS-09) FROM 27 JUL - 31 JUL 2009 IN THE NATIONAL CAPITAL REGION.  INFORMATION ON THE SYMPOSIUM SITE, RESERVATIONS DEADLINE, LODGING RATES AND OTHER SMS-09 COSTS, INCLUDING THE EVENING SOCIAL, WILL BE PROVIDED SEPARATELY ONCE IDENTIFIED.

3.  THE SMMC OFFICE EXERCISES OVERALL STAFF COGNIZANCE FOR SMS-09, TO INCLUDE SOCIAL EVENTS COORDINATION, AND IS THE INFORMATION RELEASING AUTHORITY FOR SMS-09.  THE DIRECTOR, SPECIAL PROJECTS DIRECTORATE (SPD), PROVIDES DIRECT SUPPORT TO THE SMMC OFFICE AND IS RESPONSIBLE FOR LOGISTICAL, ADMINISTRATIVE, AND COMMAND CENTER OPERATIONS SUPPORT FOR SMS-09.  POINTS OF CONTACT FOR THE SMMC OFFICE AND SPD ARE CONTAINED IN PARAGRAPH 12. 
4.  DETAILED PRINCIPALS' AND SPOUSES' PROGRAMS ARE BEING DEVELOPED AND WILL BE PROMULGATED SEPARATELY.
5.  TASKS
A.  SUBMIT ALL AGENDA ITEMS TO BE DISCUSSED AT SMS-09 TO THE SMMC OFFICE VIA E-MAIL NLT 16 JUN 09 IN THE FOLLOWING FORMAT (12 PITCH, COURIER NEW, MICROSOFT WORD FILE):  TOPIC-DISCUSSION-RECOMMENDATION.
B.  INVITED SGTSMAJ, MGYSGTS, AND CMDCMS ARE REQUIRED TO SUBMIT A VISITORS REQUEST VIA JPAS WITH THE SMO CODE 540080084; THE POC FOR THIS REQUEST IS MR. RICHARD JOPLIN WITH SPD.  ALL ATTENDEES ARE REQUIRED TO HAVE A SECRET CLEARANCE TO ATTEND REQUIRED BRIEFS. 
C.  INVITED SGTSMAJ, MGYSGTS, CMDCMS AND SPOUSES ARE TO RSVP TO SMMC OFFICE NLT 16 JUN 09 VIA E-MAIL TO THE POINTS OF CONTACT IN PARAGRAPH 12A BELOW.  IN ADDITION TO ATTENDANCE INFO, THE SMMC OFFICE REQUESTS ATTENDEES' FULL NAMES, ADDRESS (WORK AND HOME), PHONE NUMBERS (WORK, HOME, AND CELL), E-MAIL ADDRESS (WORK AND HOME), CURRENT DUTY STATION, AND ANY SPECIAL MEDICAL OR DIETARY NEEDS THAT MUST BE MET TO ENSURE A SAFE AND COMFORTABLE SYMPOSIUM EXPERIENCE. 
6.  INDIVIDUAL COMMANDS WILL ISSUE ORDERS FOR ALL ATTENDEES, AND PROVIDE INVITATIONAL TRAVEL ORDERS FOR SPOUSES WHO REQUEST TO ATTEND.  ALL ORDERS SHOULD BE NON-REPORTING.  GOVERNMENT QUARTERS AND MESSING ARE NOT AVAILABLE.  SPOUSAL TRAVEL IS REIMBURSABLE; HOWEVER, SPOUSES ARE NOT AUTHORIZED PER DIEM.
7.  GOVERNMENT TRANSPORTATION WILL BE PROVIDED FOR ALL OFFICIAL FUNCTIONS.  COMMERCIAL TAXI IS AVAILABLE FROM/TO DULLES INTERNATIONAL AND REAGAN NATIONAL AIRPORTS.  GOVERNMENT TRANSPORTATION WILL BE PROVIDED FROM/TO ANDREWS AIR FORCE BASE.  RECOMMEND ARRIVAL AT REAGAN NATIONAL AIRPORT (CLOSEST TO THE SYMPOSIUM SITE).  DIRECTIONS TO THE HOTEL WILL BE PROVIDED SEPARATELY VIA EMAIL.
8.  DETAILED COSTS ASSOCIATED WITH SMS-09 WILL BE ANNOUNCED SEPARATELY, WHEN IDENTIFIED, AND WILL BE COLLECTED DURING CHECK-IN OR ON THE FIRST DAY OF SMS-09 BY SPD WITH THE ASSISTANCE OF THE SMMC OFFICE.  MAKE CHECKS PAYABLE TO SPECIAL EVENTS FUND (SEF).
9.  UNIFORMS:  THE REQUIRED UNIFORMS AND CIVILIAN CLOTHING ARE DRESS BLUE/WHITE B (RIBBONS AND BADGES), SUMMER SERVICE "C," AND BUSINESS CASUAL.  THE SMMC WILL HOST AN EVENING PARADE ON FRIDAY, 31 JUL 09.
10.  WEATHER.  THE AVERAGE TEMPERATURES FOR WASHINGTON, DC IN JULY ARE 87 DEGREES (HI) AND 65 (LOW), WITH HUMIDITY AROUND 70 PERCENT.  THE AREA AVERAGES APPROXIMATELY 3.9 INCHES OF RAIN IN JULY. 
11.  SMS-09 COMMAND CENTER
A.  THE COMMAND CENTER WILL BE SET UP TO PROVIDE APPROPRIATE ADMINISTRATIVE AND LOGISTICAL SUPPORT TO ALL ATTENDEES.  PERSONNEL AND RESOURCES ARE ASSIGNED TO THE COMMAND CENTER ACCORDING TO KNOWN REQUIREMENTS BASED ON THE OFFICIAL AGENDAS.
B.  THE COMMAND CENTER WILL BE LOCATED IN THE HOTEL AND BE OPERATIONAL FROM ABOUT 1200 ON 26 JUL 09 UNTIL 0800 ON 1 AUG 09.  DURING THE SYMPOSIUM, THE COMMAND CENTER PLANS TO BE OPERATIONAL MONDAY THRU FRIDAY FROM 0600 TO 1900.

(6) BRIEFINGS SUPPORT:  THE COMMAND CENTER WILL BE PREPARED TO SUPPORT ALL KNOWN BRIEFERS' REQUIREMENTS.  THE NORMAL ORGANIC AUDIO-VISUAL AND INFORMATION TECHNOLOGY CAPABILITIES AVAILABLE INCLUDES SCREENS, PROJECTORS, VCRS, FLOPPYDISKS, AND LAPTOPS CAPABLE OF USING CDS.  IF ANY BRIEFER REQUIRES ADDITIONAL SUPPORT, PLEASE CONTACT MR. JOPLIN.
D.  COMMAND CENTER LIMITATIONS.  THE COMMAND CENTER WILL NOT HAVE ON-SITE CAPABILITY FOR CLASSIFIED FAX, SIPRNET EMAIL, AND STU/STE PHONE.  PLEASE CONTACT THE COMMAND CENTER SHOULD THE NEED EXIST FOR THESE SERVICES.  ALL CLASSIFIED MATERIAL HANDLING/STORAGE MUST BE COORDINATED WITH THE COMMAND CENTER.
